The Southern California Clinical and Translational Science Institute’s (SC CTSI) Workforce Development (WD) core plays a central role in the development, delivery, and evaluation of educational activities aimed at developing a wide spectrum of competencies related to clinical translational research training across the research workforce. The target populations of the WD include professionals, students, and staff members across the USC campuses, CHLA and the Los Angeles health related community.

The WD Program Specialist reports to the WD Program Manager and provides assistance in all aspects related to the efficient administration of the program (e.g., academic class development, implementation and evolution, event planning, and training program advising) as well as in the maintenance of the distance learning management system (e.g., archiving/management/inventory of the documentation library/materials/online materials/program and maintenance of software). The Program Specialist contributes to program development by participating in writing proposals/grants/manuscripts or coordinating the input of others.

Key Responsibilities

35%Program Services/Activities Coordination

• Serves as a resource for all educational and career development program information within SC-CTSI and its partners.

• Submits updates to the website on all program activities.

• Provides client services by responding to inquiries and requests for information regarding specific program functions.

• Schedules meetings and/or plans events and generates and archives accurate meeting minutes.

• May coordinate program services with other offices and staff on campus.

• Arranges with vendors for services.

• Supports Directors and WD teaching faculty in preparation of written or electronic documents on an as needed basis.

• Provides leadership and guidance for student workers and/or volunteers.

• Ensures satisfactory follow through on assigned areas of responsibility.

• Assists and coordinates educational projects or curriculum

35% Curriculum/Training Coordination/Distance Learning Systems

• Informs Trainees/Scholars/Mentors/Faculty/Staff of scheduled courses, seminar sessions, and workshops/short course offerings.

• May counsel or advise Scholars/Trainees on educational offerings or submission of program application.

• Schedules faculty, staff and/or students for class and use of audio-visual systems as part of distance learning

• Assembles course or training materials and provides their availability via hard copy, SC CTSI website, and learning content management environment (i.e. Blackboard).

• Develops online surveys to advertise and evaluate educational activities.

• Contributes to program development by participating in writing proposals/grants/manuscripts, or coordinating the input of others.

• Interacts with outside vendor, WizeHive, to run application and review processes related to the training program.

• Set-up of interactive conferencing (e.g. web, Phone, and video conferencing portable capture systems).

15% Tracking and Evaluation

• Tracks attendance, demographics, and feedback from surveys.

• Documents and evaluates survey responses from attendees.

10% Program Material Production/Distribution

• Supports the development of informational materials and planning of activities and events to support marketing strategies.

• Creates, coordinates production, and distribution of program materials including meeting agendas, reports, informational materials, marketing materials, etc.

• Archives all documentation via hard copy and/or electronically.

• Attends events, meetings or participates in appropriate professional associations of network on behalf of program services.

• Reads pertinent literature.

• Establishes and maintains an active network of professional contacts.

5% Budgeting Assistance/Supply Purchasing

• Working with CTSI administration, provides historical data and projections for use in developing program budgets.

• Assists in program budget preparation and administration.

• Researches costs.

• Tracks and monitors budget expenditures for Trainees/Scholars as needed.

• Purchases supplies for the program and if required for Trainees/Scholars.

• Other duties as assigned.

Minimum Education: High school or equivalent

Minimum Experience: 1 year of experience in directly related field of administrative support services and either clinical, basic, and/or population based research for preferred education/experience

Minimum Field of Expertise: Proficient in Microsoft suite of productivity applications such as Word, Excel (essential), PowerPoint (essential), Outlook (essential), and Publisher. Excellent written and oral communication skills.
