Under the direction of the Portfolio Director and in-direction of the Board Liaison & Sr. Executive Assistant, the Executive Assistant will work in a fast paced environment, handling complex administrative, clerical and project-related support for the Portfolio Director.


  • In alignment with the Administrative Standards Guide, supports the Portfolio Director by assisting with complex calendar management, meeting scheduling, agendas, minutes, creating and editing of letters and presentations, arranging travel, drafting and processing of contracts, budget management, and clerical duties such as large copy/scan jobs, filing, managing mailings and other ad-hoc tasks and projects as needed.

  • Manages logistical arrangements and follow-up activities for the PD related to meetings on-or off-site, as needed. For on-site meetings, EA independently partners collaboratively with other EAs, Office Managers, IT or other departments to do so efficiently and effectively.

  • Prepares extensive detailed expense reports. Processes invoices and generates check requests.

  • Routinely partners and collaborates independently with other Executive Assistants and Strategic Services staff as needed.

  • In alignment with the Administrative Standards Guide, provides complex administrative and clerical support to each initiative team under the Portfolio Director's oversight. Duties may include: Complex meeting scheduling, preparing agendas, taking meeting minutes, creating and editing of presentations, arranging travel, large copy/scan jobs, managing mailings, and other tasks as needed.

  • Manages logistical arrangements and follow-up activities for initiative teams related to medium/large group meetings on- or off-site, as needed.

  • Provides support to Program Associates during the planning, preparation or managing of convenings, onsite or offsite.

  • Processes invoices and generates check requests for initiative teams.

  • Routinely attends portfolio team meetings.

Working hours: 8-5PM



  • Bachelors degree preferred

  • Four years of administrative experience supporting senior level executives and fast-paced teams

  • A strong interest in philanthropy or the nonprofit sector

  • Demonstrated ability to work independently, prioritize effectively and resolve challenges collaboratively

  • Strong organizational skills

  • Proficiency in Microsoft Office applications, specifically MSWord, Excel and PowerPoint.

  • Familiarity with using standard business/office systems and equipment.

  • Typing speed of at least 40 wpm.


  • Demonstrated ability to interact collaboratively and professionally with all levels of staff, grantee/nonprofit organizations, commercial vendors and general community.

  • Excellent oral/written communication and interpersonal skills

  • Resourceful, skilled at problem-solving and has excellent follow through

  • Meticulous attention to detail

  • Exceptional organizational, time management and project prioritization skills
