JOB SUMMARY

The purpose of this position is to provide support to the business group and managers within the primary functions of operations and administration to include but not limited to calendaring, system administration, presentation creation, reporting, special projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Types, formats, and produces documents such as proposals, presentations, correspondence, and standard reports.

Establishes and maintains record keeping and filing systems.

Monitor and oversee submission of various reports (monthly, quarterly, annual) in accordance with established deadlines.

Assists in the preparation and review of documents such as contracts, agreements and presentations.

Reviews and maintains records, files and information of network drives.

Maintains calendar and contact database, schedules appointments, completes travel or conference arrangements and may arrange meetings and conferences for an assigned work group.

May perform administrative duties specific to department such as, conducting research, updating databases, and preparing collateral materials.

Completes expense reports and handles reconciliation of receipts for a designated work group.

Involves external interaction with CBRE teams across the US with regards to inquiries, researching and resolving problems requiring knowledge of department policies and procedures.

Other duties may be assigned.

No formal supervisory responsibilities in this position.

QUALIFICATIONS

EDUCATION and EXPERIENCE

High school diploma or general education degree (GED) and a minimum of two years of related experience and/or training.

COMMUNICATION SKILLS

At minimum, a basic understanding of commercial property management processes and procedures with familiarity of general real estate terminology is strongly preferred.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.

Ability to write routine reports and correspondence. Ability to proof-read reports and edit content. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE

Requires general knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and/or ABILITIES

Technical aptitude and ability to learn new programs quickly. Intermediate experience in Microsoft Office Suite especially in Excel, PowerPoint, and Outlook. Experience in Yardi is a plus. Strong organizational skills a must.

SCOPE OF RESPONSIBILITY

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
